Annual Canvass

Each year the Electoral Registration Officer (ERO) has a legal requirement to conduct an annual canvass to ensure the electoral register is accurate and complete.

Each household will be contacted by East Staffordshire Borough Council and each needs to check their details are correct.

The way we carry out the annual canvass to update the electoral register is changing. Examples of the forms that we could send to you are below.

Canvass Communication A Form

This form is an A4 form which contains the following information:

  • The full name and nationality of each elector/pending elector
  • Information on how the elector can respond if they have changes to report
  • A notification that a person’s matching data has been processed and will be processed in accordance with data protection legislation
  • A statement that the occupier (or person in charge of the premises) is required to tell the ERO if any of the information is incomplete or inaccurate and to provide the full name and nationality of each person eligible to register
  • A declaration that the information provided is true (including an indication if the person who is making the declaration is not resident at the address, and the capacity in which they are making the declaration) If practicable, an indication if each person registered is aged 76 or over (England and Wales only)

Canvass Form

This form is an A3 form which contains the following information:

  • The full name and nationality of each elector/pending electors
  • A notification that a person’s matching data has been processed and will be processed in accordance with data protection legislation
  • A declaration that the information provided is true (include an indication, if the person who is making the declaration is not resident at the address and the capacity in which they are making the declaration).
  • Include spaces for the email address and telephone numbers of each person residing at the address who is entitled to register, and an explanation that this required information is not mandatory.
  • If practicable, an indication if each person registered is aged 76 or over (England and Wales only)

Canvass Communication B Form

This form is an A4 form which contains the following information:

  • The full name and nationality of each elector/pending elector
